When Photo Approval is enabled in the Admin Center and no specific business rules apply, new photos are always placed in the Pending section of photo management. Depending on your organization's configuration, this section displays the following:

  • Photo Thumbnails: A small image of the uploaded photo.

  • ID Document Thumbnails: If applicable, a thumbnail of the identity document (e.g., passport or driver's license).

  • Match Factor: Indicates how well the uploaded photo matches an existing approved photo or proof of identity. The match factor is displayed with color coding:

    • Red (below 40%): Low match.

    • Orange (40%-60%): Moderate match.

    • Green (above 60%): High match.

Customizable Match Factor Settings

The match factor thresholds can be adjusted in the Admin Settings under the Controller Photo section by the administrator. This ensures the match factor aligns with your organization's policies and standards for photo quality and identity verification.

Manual Actions for Pending Photos

When manually reviewing photos in the Pending section, you have several options:

  • View Match Comparison: Click the eye icon to open a pop-up window displaying both the uploaded photo and the reference photo for comparison. From this window, you can approve, reject, or move the photo Under Review.

  • View/Replace Photo: Click the photo thumbnail to open the View Photo window, where you can edit the current photo, upload a new photo, or capture a new one using a camera.

Additional Considerations

  • Pending Photos Not Visible on Person Record: Until approved, photos in the Pending state do not appear on the person's Controller Details page.

  • Production Restrictions: Profiles requiring a mandatory photo cannot proceed to production until the current photo is approved.

  • Stand Mobile App/Website Restrictions: Users who upload a photo through the Stand mobile app or website cannot upload a new photo until the existing one is either approved or rejected. The system notifies the user about the status of their uploaded photo and any actions they need to take.
